To-do list vs. calendar: what goes where?
Keep flexible work on the list and reserve calendar space for commitments that need a particular time.

A to-do list and a calendar answer different questions. The list tells you what needs action. The calendar tells you where time is already spoken for.
Trouble starts when every task becomes an appointment or every appointment becomes a loose task. Scheduling every flexible task fills the calendar with plans that can move. Treating appointments as loose tasks removes the time commitment from view.
Put fixed commitments on the calendar
Use the calendar when being there at a particular time is part of the commitment:
- A meeting, call, class, or appointment.
- A deadline that another person is relying on.
- A block of time you have deliberately protected for focused work.
Google Calendar, for example, can show dated tasks on the calendar alongside events. The useful distinction still holds: adding time means you are making room for the work, not merely recording that the work exists.
Keep flexible actions on the to-do list
“Buy printer paper,” “Review homepage draft,” and “Call the plumber” may need to happen soon without needing a particular hour. Keep them on the list so they can move as the day changes.
Pull the actions you intend to tackle into Today. If one truly needs protected time, give that task a matching calendar block. You do not need to schedule the rest of the backlog.
Avoid competing sources of truth
If a calendar block says “Write proposal,” keep the task on your list until the proposal is actually written. The calendar records the time you reserved. The task records the outcome. Marking the block complete should not automatically settle the task in your head.
Check them together during daily planning
Before choosing priorities, look at the time already committed. Account for appointments before filling Today. A clear afternoon may have room for the task you have been protecting.
This check fits naturally into a simple daily planning routine. The calendar sets the boundaries. The list helps you choose what to do inside them.
